What personal data we collect and why we collect it

Comments

When visitors leave comments on the site, e.g.
Guestbook, Incidents in Trimdon, Contact Form or any page which allows Comments;
we collect the data shown in the comments form, and also the visitor’s IP address and browser user agent string to help spam detection.

Media

If you upload images to the website, you should avoid uploading images with embedded location data (EXIF GPS) included. Visitors to the website can download and extract any location data from images on the website, so where possible we remove any embedded data before it is published here.

Who we share your data with

We do not operate mailing lists or share your data with anyone else except as described below:
a) If you provide us information which you want to be displayed on the website, for example a genealogy request (family history) or perhaps a news article or photographs which you provide, you acknowledge and accept that it will be viewable by anyone with internet access who visits the Trimdon Times.
b) If another visitor requests your contact details, for example to exchange information directly regarding a family history request, we will always contact you first to obtain permission. If by chance we can no longer contact you then no information will be passed on.

How long we retain your data

If you leave a comment, article or other content, that content and its metadata are retained indefinitely. This is so we can recognize and approve any follow-up comments automatically instead of holding them in a moderation queue.

For users that register on our website (if any), we also store the personal information they provide in their user profile. All users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information.

What rights you have over your data

a) If you have provided information, articles, photographs or comments which have been published on the website, you can ask at any time that they be removed. Please be aware that requests for removing content will ideally be received from the SAME email address as the original item, to avoid malicious or mischievous removal of content! If the original email address is not available, other means of identification will be asked for.

If you have an account on this site, or have left comments, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. Any information, including backup material, held on our own computers is password protected to prevent unauthorised access.
There is no printed information or any other information in physical form including photographs.

What data breach procedures we have in place

Even though the Trimdon Times is hosted on a secure server (https:) there is no confidential data stored on the website, so a data breach is irrelevant. If by chance the website was ever ‘hacked’ it would simply be restored from backup systems.
